A boutique independent financial advice practice with eight client-facing advisers was losing a significant share of its non-billable time to meeting preparation. Before every client review, each adviser was spending between 45 minutes and an hour manually pulling portfolio data, checking performance against targets, and assembling a briefing pack. Across the whole team, that added up to the equivalent of a full working day lost to admin every week.

What we were asked to solve
The practice had no system for preparing client review packs other than doing it manually. Advisers were pulling data from multiple places, writing their own summaries, and building their own agendas - every time, for every client. The work was necessary but it was not where their time was best spent.
Solution
How we approached it
We deployed an AI agent connected to the practice's portfolio management platform that generates a personalised briefing pack for each client review 24 hours in advance. The agent pulls live portfolio data, flags positions outside agreed tolerance bands, and drafts a structured agenda with discussion points tailored to each client's objectives and last recorded circumstances.
Average meeting preparation time fell from 55 minutes to 18 minutes. The team reclaimed more than five hours per week collectively, and three advisers used the additional capacity to take on new clients in the six months following launch - without any increase in headcount.
